Job Description

Our client, an advertising agency located in the Financial District, is seeking a Temporary EA to support the CEO. This is a hybrid role with working hours being 8am-5pm. This position starts ASAP. Responsibilities: Coordinate and manage calendar(s), anticipating and proactively resolving conflicts to ensure time is used efficiently. Coordinate domestic and international travel arrangements to include accommodations, transportation, and meals. Reconcile and submit expenses in Concur. Organize in-person staff meetings, onsite and offsite client meetings, or shoots by arranging for facilities, technology support, travel, issuing invitations, and disseminating information. Act as the point of contact between the executive(s) and internal and external stakeholders. Organize and maintain files, projects, memberships and renewals. Maintains email distribution and phone lists. Partner with key departments such as office services, security, and IT to collaborate, acquire information, problem solve, and achieve desired results. May supervise other administrative staff, to include hiring and completion of performance appraisal process. Qualifications: 4+ years of experience as an Executive Assistant supporting senior level executives. Customer-centric approach to requests, balancing priorities with urgencies and maintaining the highest degree of care to stakeholders. Handle sensitive and confidential information with discretion and while maintaining a high level of professionalism at all times. Excellent written and verbal communication skills. Strong interpersonal skills; ability to collaborate well with others. Strong organizational and leadership skills, follow-through and demonstrated ability to multi-task and meet deadlines, time management. Proficiency in Microsoft Office Suite required, especially PowerPoint, Teams, Word, MS Office and other features.
