Events Director

 

Job Summary
The Events Director is responsible for selling all aspects of private events held at the YWCA of Lubbock locations to include corporate, community, social, wedding and other market segments.  This role coordinates logistics and on-site event management by overseeing the room rental process, handling inquiries, managing contracts, and ensuring the client’s satisfaction.

The primary function of this role is to drive revenue by fostering relationships with existing and future customers and to promote community awareness of YWCA of Lubbock’s programs and services.

Essential Job Responsibilities
  • Responsible for all planning, implementation, and production of YWCA event rentals, event vendor relationships, and event logistics.
  • Responsible for selling all private events, meeting with the customers to determine needs, meeting those needs, and exceeding their expectations through detailed communication.
  • Generates a definitive sales strategy to meet and/or exceed departmental revenue goals consistently.
  • Oversees the room rental process for event rooms at the YWCA on University, Sun ‘n Fun, and Legacy Event Center.
  • Networking inside and outside the YWCA to obtain "leads" and build relationships with new and existing clients.
  • Collaborate with internal departments and vendors to ensure that all aspects of events, including catering, audiovisual equipment, decorations, and signage are arranged and executed successfully.
  • Ensures all contracts, procures customer’s signature, and collects necessary deposit and payments per events policy.
  • Manages all accounts with repeat weekly, monthly events.
  • Ensures all policies are followed and member/guest satisfaction levels are met.
  • Coordinates and manages event staffing requirements.
  • Works at YWCA special events as directed including preparation, set-up, event execution and tear-down.
  • Work closely with the Communications Director to support the planning, coordination, and execution of various YWCA sponsored events. Including assisting with logistics and vendor management.
  • Responsible for working with the Marketing team on promotional materials for private events. For example: YWCA website and social media outlets.
  • Represents the YWCA of Lubbock in a positive manner at all times, including working with staff, volunteers, and vendors.
  • A dditional duties as assigned to fulfill the Mission of the YWCA of Lubbock.
Job Qualifications
  • Learn and support the YWCA mission, vision, and policies to meet the goals of the organization without compromise, serving as a role model for the Lubbock community both in demeanor and in life-style habits.
  • At least two (2) years’ experience in event planning or similar field.
  • Very strong communication skills, both written and verbal.
  • Strong computer skills, including Microsoft Office. Greater Giving is a plus.
  • Strong attention to detail, multi-tasking, and problem-solving.
  • Present self professionally in appearance and mannerism at all times.
  • Flexibility to work at YWCA events including evenings or weekends.
  • Infrequent travel: 0-10 days/year.
  • Pass a criminal history background check and FBI fingerprint check.
